Time is the most valuable resource we have – and yet most people often take for granted this unique, irreplaceable, and necessary resource and waste it

If you really want to succeed in life, you have no choice but to effectively manage your time. Without the habit of time management, it would be virtually impossible for you to get anything done.

When you don’t have time to do something, it’s usually any of these two problems

  1. Wasting too much time.
  2. Over committing (having too many things on your plate)

For the first problem I want you to take a look at the chart above, this is an average breakdown of how people spend their week. There are 168 hours in a week, out of which there are extra 37 hours a week, but people still make excuses for why they can’t do things. The extra 37 hours just get lost in our social life.

Yes, I know, we sometimes need time for our social life or relaxation. And I don’t mean you have to devote all 37 hours to work on your mission.

But think for a moment. If you just use 17 hours of those 37 hours to focus on work, it will be just an extra 2.45 hours a day.

You will still have 20 hours for partying, going out, relaxing,…

When you properly manage your time, you have room for the stuff that matters to you. Specifically, you will have room for the activities that will help you achieve your goals.

The best time managers of the world are usually the most successful people in their respective fields. Why? Because they use time as a benefit rather than an enemy.

For the second problem (Over committing) let me talk about Stephen Covey’s time management matrix. It is an effective method of organizing your priorities

As you can see from the grid below, there are four quadrants based on urgency and importance.

Quadrant I is for the immediate and important deadlines. We can call them emergencies too. Like university exams, project deadlines, or severe toothache and “real” crises. Exceptions aside, these activities are usually the same activities which were in quadrant two, but because they were postponed, they are urgent now. For example, if you pay attention to your health properly, you will not get a severe toothache, or if you work on a project well ahead, you get into the last minute mess. So you will not get distracted from other more important activities (Quadrant 2 activities)

Quadrant II is for long-term strategizing and development. Your long term goals are here. Your business, health, planning, self development, healthy relaxation, relationship building,.. To achieve your goals, you have to perform actions that might not be urgent, but are very important. This quadrant is where most of “time masters” of the world spend most of their time.

Quadrant III is mainly for distractions. They are not really important, but should be done now. Many of the calls and emails we receive fall here. Reporting somebody else’s problems, some meetings and relationships are here too.  The successful people know very well how to scape the urgent but unimportant stuff smartly. We can’t be always available for anyone and anything or we never become what really plan to be.

Quadrant IV is for those activities that don’t have any value because they are neither important nor urgent. A lot of parties, gatherings, chats, TV shows, shopping are in this quadrant. You should avoid them completely unless they are for the purpose of rejuvenation and refreshing you.

Many people find that most of their activities fall into quadrant I and III where there is an urgency. Quadrant II is often under used. Yet, Quadrant II is exceptionally important because all your future planning and strategy settings happen here. Your number 1 agenda should be to MANAGE Q1 activities, FOCUS on Q2 more than anything else, AVOIDQ3 activities and finally LIMIT Q4 stuff as much as possible.

Mahatma Gandhi said: Action express priorities.

So from today onward instead of saying “I don’t have time” – try this “it’s just not a priority”. And your priorities should be the quadrant II activities.
